Privacy Policy

Updated Date: January 1, 2025

This Privacy Policy describes how TeePlug ("TeePlug", "we", "us", or "our"), operated by New Era Grafix, collects, uses, and discloses your Personal Information when you visit or make a purchase from teeplug.ca (the "Site").

This policy is intended to comply with Canada's Personal Information Protection and Electronic Documents Act (PIPEDA) and other relevant privacy laws applicable in Ontario and Canada.

1. What Personal Information We Collect

We collect the minimum Personal Information necessary to provide our services, primarily for billing and shipping purposes. The types of Personal Information we collect include:

  • Identifiers: Your name, billing address, shipping address, email address, phone number, and IP address.
  • Commercial Information: Records of products purchased or considered, and your purchase history.
  • Internet or Other Electronic Network Activity Information: Information about your interaction with our Site, collected via essential cookies (see Section 5) and analytics tools (see Section 4).
  • Payment Information: We use Stripe, a third-party payment processor, to handle your payment information securely when you make a purchase. We do not directly store your full credit card details on our servers. Stripe's use of your personal information is governed by their privacy policy.
  • Communications: Records of your communications with us if you contact us.

2. How We Collect Your Personal Information

We collect Personal Information in the following ways:

  • Directly from You: Primarily when you explicitly provide it to us by filling out forms on our Site, such as during account creation, checkout, or when contacting us.
  • Automatically Through Essential Technologies: When you use our Site, we use essential cookies to store necessary information for site functionality like cart data, checkout signatures, and payment intents (see Section 5).
  • Automatically Through Analytics: We use PostHog to collect information about how visitors use our Site so we can improve performance, understand the checkout funnel, and fix usability issues. PostHog may collect page interactions, session-level diagnostics, device and browser metadata, referrer and campaign parameters, and masked session replay data on high-intent pages.

3. How We Use Your Personal Information

We use your Personal Information for specific purposes, including:

  • To Provide and Manage Our Services: To process and fulfill your orders, manage your account, process payments via Stripe, arrange for shipping, and provide you with invoices and order confirmations.
  • To Communicate With You: To respond to your inquiries, provide customer support, and send essential service-related communications (e.g., order status, shipping updates).
  • To Improve Our Site and Services: To understand how users interact with our Site using analytics data from PostHog, allowing us to improve user experience, reduce checkout friction, and improve our offerings.
  • For Security and Fraud Prevention: To protect the security of our Site, detect and prevent fraudulent transactions.
  • To Comply with Legal Obligations: To meet applicable legal and regulatory requirements.

4. How We Share Your Personal Information

We do not sell your Personal Information. We share your Personal Information only with trusted third parties necessary to provide our services:

  • Payment Processor: We share transaction information with Stripe to process your payments securely.
  • Shipping Carriers: We share your name, shipping address, email, and phone number with shipping carriers (e.g., [List specific carriers like Canada Post, FedEx, UPS, etc., if possible, otherwise keep general like "Canada Post, FedEx, etc."]) to deliver your orders.
  • Analytics Provider: We share interaction data with PostHog to help us analyze and improve Site performance and user experience. We configure analytics and replay collection to mask text inputs by default and to exclude sensitive payment, address, password, and freeform message content from replay capture. PostHog's use of information is governed by their privacy policy.
  • Legal Requirements: If required by law, regulation, legal process, or governmental request.
  • Business Transfers: In connection with a potential merger, sale of company assets, financing, or acquisition of all or a portion of our business. We will notify you before your Personal Information is transferred and becomes subject to a different privacy policy.

These third parties are contractually or legally obligated to protect your information and use it only for the specific services they provide to us or as required by law.

5. Cookies and Tracking Technologies

We use essential cookies required for the basic functionality of our Site. These cookies help us to:

  • Remember items in your shopping cart.
  • Manage checkout processes securely (e.g., storing necessary signatures or payment intent identifiers).
  • Maintain your logged-in state if you have an account.

Because these cookies are strictly necessary for you to browse the Site and use its features (like making a purchase), consent is implied by your use of the Site. We also use PostHog for product analytics and limited session replay on product, cart, quote, and checkout pages. Replay is configured to mask text inputs and exclude sensitive fields and containers. We do not currently use cookies for targeted advertising.

6. Data Security

We implement reasonable administrative, technical, and physical security measures designed to protect the Personal Information we collect against unauthorized access, disclosure, alteration, or destruction. We rely on reputable third parties like Stripe for secure handling of sensitive payment data. However, no internet transmission or electronic storage is 100% secure, and we cannot guarantee absolute security.

7. Data Retention

We retain your Personal Information for as long as necessary to fulfill the purposes outlined in this Privacy Policy (e.g., process orders, maintain account information, analytics) and to comply with our legal obligations (e.g., tax and accounting requirements), resolve disputes, and enforce our agreements. Order information is generally retained unless you request its deletion via your dashboard or by contacting us.

8. Your Privacy Rights & Choices

We respect your rights over your Personal Information under Canadian law (PIPEDA):

  • Access, Correction, and Deletion: You can view, manage, update, and delete much of your Personal Information directly through your user account dashboard on the Site.
  • Further Rights: You also have the right to request access to information not available in your dashboard, request correction of any inaccuracies, or request deletion where applicable (subject to legal limitations).
  • Withdraw Consent: Where applicable (e.g., if you subscribed to optional marketing emails in the future), you can withdraw consent. For essential processing (like orders), withdrawing consent may mean we cannot provide the service.

To exercise rights not manageable via your dashboard, or if you have issues, please contact us at [email protected]. We may need to verify your identity before processing certain requests.

9. Children's Privacy

Our Site is not intended for individuals under the age of 13. We do not knowingly collect Personal Information from children under 13. If you believe we have inadvertently collected such information, please contact us at [email protected] so we can take steps to delete it.

10. International Data Transfers

Your Personal Information may be processed by us or our service providers (like Stripe and PostHog) in countries outside of Canada, including the United States, where data protection laws may differ. We ensure that appropriate safeguards are in place for such transfers as required by applicable law, relying on the security and privacy commitments of our reputable international service providers.

11. Changes to This Privacy Policy

We may update this Privacy Policy from time to time. We will post the revised policy on the Site and update the "Effective Date." We encourage you to review this policy periodically. Your continued use of the Site after changes signifies your acceptance of the revised policy.
